FactoryQA quality teamOctober 25, 2026 An expired supplier certificate is one of the easiest findings an auditor can write, and one of the easiest to prevent. Certificates and self-assessments are also your early warning: a supplier that lets its ISO 9001 or Nadcap approval lapse, or whose self-assessment slips, often has bigger problems coming. Supplier Quality in FactoryQA: certificates with expiry dates, reminders and portal uploads. ## What to track for every certificate - The standard (ISO 9001, AS9100, IATF 16949, Nadcap, ISO 13485) - The certification body and certificate number - The scope and sites covered, checked against what you buy - The expiry date, and the date you last checked it ## Stay ahead of expiry Ask for the renewed certificate before the old one lapses, not after. A reminder to the supplier well before expiry, with a simple way to upload the new certificate, keeps the file current without anyone chasing. When a certificate does lapse, decide what happens: a conditional status, extra receiving inspection, or a hold on new orders. ## Annual self-assessments A self-assessment is a questionnaire the supplier completes about its own quality system. Repeated each year, it shows trends: new subcontractors, staff changes, calibration or training gaps, changes in ownership. Review the answers, raise risks where they appear, and use them to decide which suppliers to audit this year. ## Make the supplier's part easy Suppliers deal with dozens of customers' requests. A portal where they upload a certificate or answer a self-assessment in a few minutes, without creating yet another account, gets you faster and more complete answers than emailed forms.
