Guide

# How to move your QMS off spreadsheets

Signs your quality system has outgrown spreadsheets, and a five-step plan to move documents, NCRs, calibration and training without losing records.

FactoryQA quality teamOctober 25, 2026

Most quality systems start in spreadsheets and binders, and for a while that works. The trouble starts as the company grows: more customers, more auditors, more people who need the current revision. This guide covers the signs that you have outgrown spreadsheets and a plan for moving without losing a record.

Issues in FactoryQA: NCRs, CAPAs and SCARs on one record instead of a spreadsheet log.

## Signs you have outgrown spreadsheets

- **Two versions of the truth.** The NCR log on the shared drive and the one on someone's desktop disagree.
- **Audit prep takes weeks.** Pulling evidence for an audit means chasing people for files.
- **Nobody knows what is overdue.** Calibration due dates, corrective actions and training expire without anyone noticing.
- **Old revisions on the floor.** Operators work from printed procedures that were superseded months ago.
- **No trends.** You cannot easily answer "which supplier causes the most NCRs?" or "is scrap going up?".
- **One person holds it together.** If the quality manager is out, nobody can find anything.

## Step 1: List what you keep today

Write down every spreadsheet, binder and form that makes up your QMS: the NCR log, CAPA tracker, gage list, training records, approved supplier list, audit schedule, document index. Note who owns each one and how many records it has. This becomes your migration checklist.

## Step 2: Start with the records auditors check most

Do not move everything at once. Start with the lists that cause the most pain and the most audit findings, usually documents, NCRs and CAPAs, calibration and training. Customers and suppliers come along with them.

## Step 3: Clean the data on the way in

Use the move to remove duplicates, close stale records and agree on one naming convention for part numbers and suppliers. If your ERP already holds customers, parts and suppliers, connect it instead of importing those by hand.

FactoryQA has import templates for customers, suppliers, NCRs, gages, calibration and training, and the AI Assistant can import a spreadsheet for you. Imports can be undone, so a bad first attempt costs nothing.

## Step 4: Run one process end to end

Pick one process, such as NCRs, and run it only in the new system for a few weeks. Fix the form and the workflow while the stakes are low, then move the next process.

## Step 5: Retire the old files

Once a process runs in the new system, make the old spreadsheet read-only and say so in its name. Keep it for the record retention period your standard and customers require, but stop updating it, or you will be back to two versions of the truth.

## What to expect

A small team can usually move documents, NCRs, calibration and training in a few weeks of part-time work. The payback shows up at the next audit, when evidence is a search away instead of a week of chasing.
