Supplier quality

# Customer complaints and supplier inspections in one QMS

Why customer complaints and incoming supplier inspections belong in the same QMS, how the loop between them closes, and what software should do for both.

FactoryQA quality teamNovember 5, 2026

A customer complaint and a failed incoming inspection often turn out to be the same problem seen from two ends. A coating that flakes in the field started as a thin coat at the supplier; a cracked bracket started as a material defect nobody caught at receiving. When complaints live in a customer-service inbox and incoming inspection lives on paper at the dock, the two never meet, and the same defect keeps getting through. This guide covers what good handling looks like for each and how one QMS closes the loop between them.

## What good complaint handling looks like

1. **Log it once, with the facts.** Customer, part number, lot or order, what was found and any photos or returned parts, on one numbered record.
2. **Contain it.** Check stock, work in progress and anything already shipped from the same lot.
3. **Find the root cause.** Use 5 Whys, a fishbone or a full 8D for serious or repeating complaints, and check whether a supplier part is involved.
4. **Fix it and prove the fix worked.** A corrective action with an owner and due date, and an effectiveness check before the record closes.
5. **Answer the customer.** A clear response with containment, cause and corrective action, often in the customer's own format.
6. **Trend it.** Complaints by customer, part and cause, so patterns show up before the next one.

## What good supplier inspection looks like

1. **Inspect to the drawing.** Receiving and first article inspection sheets built from the same characteristics as your own inspection, so limits are not retyped.
2. **Check the paperwork.** Certificates of conformance, material certificates and the supplier's own approvals, with expiry dates tracked on the supplier record.
3. **Raise a nonconformance from a failed result.** The failed reading should open an NCR against the supplier and the lot, not a note on the receiving slip.
4. **Send a SCAR when it matters.** Containment, root cause and corrective action from the supplier, with a due date and reminders.
5. **Score the supplier.** Supplier NCRs, SCAR response times and evaluations feeding a scorecard that changes buying decisions.

## Where the two connect

The loop closes when both sides sit on the same records:

- A complaint whose root cause is a purchased part becomes a supplier issue, and the SCAR goes out from that record.
- The supplier's corrective action is verified at incoming inspection: if the next lots pass, the fix worked; if they fail, the issue reopens with evidence.
- The supplier's scorecard reflects both what you found at receiving and what your customers found in the field.
- Your response to the customer can show the supplier's corrective action and the inspection results that prove it.

If complaints and inspection are in different systems, each of those steps depends on someone copying information across by hand.

## What to look for in software

- Complaints logged as issues with the same stages as any nonconformance: containment, disposition, root cause, corrective action and verification
- Root cause tools on the record: 5 Whys, fishbone and 8D
- Receiving and first article inspection sheets built from the drawing
- A failed reading that opens an NCR without retyping
- SCARs sent from the issue and answered by the supplier through a portal
- Supplier certificate expiry tracking and scorecards
- Dashboards for complaints, supplier NCRs and SCAR response times

In FactoryQA, a customer complaint is logged in [Issues](https://factoryqa.com/products/non-conformance-management) like any other nonconformance, so it gets the same stages, owners and root cause tools, and can be escalated to a corrective action. [Inspection](https://factoryqa.com/products/inspection-sheets) builds incoming and first article sheets from the ballooned drawing, and a failed reading leads straight to an issue. [Supplier Quality](https://factoryqa.com/products/supplier-management) sends SCARs that suppliers answer through a portal without an account, tracks certificate expiry, and shows supplier NCRs, open SCARs and response times on a dashboard. See how it fits a smaller team on [FactoryQA for small and mid-size manufacturers](https://factoryqa.com/cloud-qms-for-small-manufacturers).

## Questions

### Which QMS software handles customer complaints and supplier inspections well?

Look for a system where complaints and supplier nonconformances use the same issue workflow, incoming inspection is built from the drawing, a failed reading opens an NCR, and SCARs go to suppliers through a portal. The test is whether a complaint traced to a supplier part can be followed to the SCAR and the inspection results that prove the fix, without copying anything by hand.

### Should customer complaints be handled as nonconformances?

Yes, in most manufacturing QMSs. A complaint needs the same containment, root cause and corrective action as an internal NCR, plus a response to the customer. Handling both in one workflow keeps trends and corrective actions in one place.
